The J. Robert Gladden Orthopaedic Society (“JRGOS”, “we”, “us”) is a national professional community for orthopaedic surgeons. This policy explains what personal information this website collects, why we collect it, and the choices you have.
It covers gladdensociety.org and the member services provided through it. It does not cover other organizations’ websites that we link to, including our journal partner and our social media channels.
Information you give us
Most of the information we hold is information you have chosen to send us:
- Membership records. When you join or renew, we collect your name, contact details, professional role, institution and training stage, and the membership level you select. This is what allows us to administer your membership and to show you the right member benefits.
- Payments. Membership dues, donations, event registrations and other payments are processed by Authorize.Net. Your card details are entered on a payment form and passed to Authorize.Net; JRGOS does not store card numbers on this website. We retain the record of a transaction — what was paid, for what, and when.
- Forms and submissions. Grant, award and abstract applications, job postings, photograph and video submissions, surveys, reimbursement requests and general inquiries are collected through forms on this site. These include whatever you enter and any files you attach.
- Event registrations. If you register for a JRGOS meeting, course or webinar, we collect the details needed to register and contact you.
- Mailing list. If you subscribe to society communications, we hold your name and email address for that purpose.
Information collected automatically
- Server logs. Our hosting keeps ordinary web-server records, including IP address, browser type and the pages requested. These are used to keep the site running and secure.
- Cookies. This site sets cookies that are necessary for it to work: a session cookie when you sign in, and cookies used by the membership system to keep you signed in and to remember a checkout in progress. Blocking these will prevent sign-in and membership functions from working.
- Approximate location and form activity. Some of our forms record the approximate location a submission came from, and how a form was completed, to help us detect abuse and understand which applications are being started but not finished.
This website does not currently run advertising or analytics trackers. There is no Google Analytics, Google Tag Manager, advertising pixel or session-recording tool installed. If that changes, this policy will be updated before the change goes live.
Use of Artificial Intelligence
JRGOS may use artificial intelligence (AI) tools and services, including technologies that help us respond to inquiries, improve member services, and provide information related to Society programs and resources.
When you interact with an AI-enabled JRGOS service, the information you provide and other information necessary to respond to your request may be processed through the AI services used by JRGOS. These services are intended to support our operations and improve the experience we provide to members, prospective members, and other individuals who interact with the Society.
AI-enabled services may have access to certain information associated with your JRGOS account or the service you are using when that information is necessary to respond to your request. Depending on the service, this may include membership information, event or educational program information, account details, or other Society-related information.
AI-generated responses may not always be complete or accurate. Official JRGOS records and communications remain the authoritative source for membership status, payments, event registrations, educational records, and other Society information. Please verify important information through your JRGOS account or by contacting the Society.
JRGOS may provide options for you to request assistance from Society staff instead of using an AI-enabled service, where available. Choosing not to use an AI-enabled service will not, by itself, affect your JRGOS membership or access to Society services.
How we use your information
We use personal information to administer membership and payments; to provide member benefits and gated resources; to process applications, submissions and registrations; to send society communications you have asked for; to respond to inquiries; and to keep the site secure and functioning.
We do not sell your personal information.
Who we share it with
We share personal information only where it is needed to run the society:
- Service providers who operate parts of this site on our behalf — our hosting provider, our payment processor (Authorize.Net), our email delivery, and the AI provider described above. They may process your information only for the service they provide to us.
- Award, grant and abstract reviewers, where you have submitted an application for review.
- Where the law requires it, or to protect the rights, safety or property of JRGOS, our members or others.
Members’ visibility to one another
Parts of this site are open only to members, and some member information may be visible to other signed-in members — for example in a member directory or on committee and leadership pages. You can review what your profile shows, and change most of it, from your member profile.
How long we keep it
We keep membership and financial records for as long as your membership is active and afterwards for as long as we need them for the society’s records, accounting and legal obligations. Form submissions are kept for as long as they are needed for the purpose they were sent for. Mailing-list subscriptions are kept until you unsubscribe.
Your choices
- Your account. You can view and update your membership details, and change or cancel your membership level, from your member dashboard.
- Emails. Every society mailing includes a way to unsubscribe. Messages about your membership, payments and applications are not marketing and will still be sent.
- Cookies. Your browser can block or delete cookies. Blocking the necessary cookies described above will prevent sign-in from working.
- Access, correction and deletion. You may ask us what personal information we hold about you, ask us to correct it, or ask us to delete it. We will respond as required by the law that applies to you. Some records — financial records in particular — we may need to keep.
Security
This site is served over an encrypted connection, member areas require a password, and card details are handled by our payment processor rather than stored here. No website can promise perfect security, and we encourage you to use a strong, unique password and to tell us at once if you believe your account has been misused.
Children
This site is intended for orthopaedic surgeons, residents, fellows and medical students, and is not directed to children under 13. We do not knowingly collect personal information from children under 13.
Changes to this policy
We may update this policy. When we do, the revised version will be posted here with a new “last updated” date, and material changes will be communicated to members.
